Gymaid is committed to providing its customers with the highest levels of customer service and products. This includes protecting the privacy of its customers and ensuring a secure online experience. In general, customers can view the Gymaid website and all the latest news without telling Gymaid who they are or revealing any information about themselves. Gymaid will however need personal information for online sales and quotes.

Our site may contain links to other sites. Please note we have no control over how your data is collected, stored, or used by other websites and we advise that you check the privacy policies of any such websites before providing them with any data.

What is personal information?

Personal information is information about an individual who can be identified, or whose identity could be reasonably ascertained, from the information.

How Gymaid collects personal information

To deliver the services offered by Gymaid, certain personal information is collected. Gymaid collects personal information from individuals when:
• The customer makes an enquiry to Gymaid
• The customer registers online for quotes, sales or to keep up-to-date with news and offers

How Gymaid uses personal information

Gymaid will collect information that is necessary for them to carry out the primary purpose of providing services and advice relating to the customer. Personal information may be used in order to:

  • Provide the services required
  • Internal accounting and administration
  • Keeping the customer informed on news and special offers

If a customer wishes to be kept informed on news and special offers they can chose to subscribe to our mailing list. There is a double opt in process to confirm the customer gives permission to be added to our mailing list. An unsubscribe link will be available should the customer change their mind and wish to no longer receive these emails. 

When we disclose personal information

Gymaid discloses personal information to other organisations that is necessary to assist in providing services. The organisations include:
Outsourced service providers who manage the services provided to customers, including:

  • Mailchimp – email service provider which helps us to send bulk emails in an efficient manner. 
  • Trustpilot - to collect and respond to customer reviews.
  • Printer companies 
  • Government or regulatory authorities and other organisations, as required or authorised by law

Gymaid limits the use and disclosure of any personal information to such organisations for the specific purpose for which it is supplied.
When a customer provides Gymaid with personal information about other individuals, Gymaid relies on that customer to make the individual aware that the information has been provided to Gymaid and for what purpose, and to whom it may be disclosed and also how they can access their information. This is extremely important for clubs who are providing the personal information on behalf of their members.

Storage and Security of personal information

Gymaid stores personal information on a computer database. The personal information may be held in both paper file and computer file form. Gymaid has implemented measures of a reasonable nature to ensure that all personal information is securely stored from misuse, loss and unauthorised handling.

Accuracy of personal information

Gymaid takes reasonable steps to ensure that whenever personal information is collected or disclosed, it is accurate, complete, and up to date.

Access to personal information

The customer has a right to access their personal information, subject to some exceptions allowed by law. The customer can gain access to their personal information by contacting Gymaid. The customer may also advise Gymaid at any time about possible breaches of privacy, or inaccurate, incomplete personal information, which may have changed.  As a small company any requests to view your own personal information will be dealt with on an individual basis. 

Changes to this privacy policy

We may change our policy from time to time. This may be necessary, for examply, if the law changes, or if we change our business in a way that affects personal data protection.

Any changes will be immediately posted on our website and you will be deemed to have accepted the terms on your first use of the website following the changes. We recommend that you check this page regularly to keep up-to-date.
